How to Create and Manage Content Lifecycle Policies
Content Lifecycle Policy in VIDIZMO reduces storage and access costs while introducing better content management. It provides an intuitive way to create, edit, and prioritize content policies on your Portal to delete, purge, or change the storage tier for your Portal content.
If you have an Azure storage that supports tiers configured as your storage provider, you can create policies for moving content into (or from) access tiers: Hot, Cool, and Archive. Each tier has varying access speed and storage costs. You can also determine whether these policies run manually or automatically.
Prerequisites
- Ensure you belong to a group that has permission to create content lifecycle policies on your Portal.
- To utilize access tiers and create change tier policies, ensure you've configured an Azure storage that supports tiering as your Portal's storage provider. In addition, ensure that you've selected the content types you want to store in access tiers in the storage provider settings. See Utilizing Azure Access Tiers in VIDIZMO for more information.
Enable Content Lifecycle Policies
- Select the navigation menu.
- Expand Admin.
- Select Portal Settings.
- Expand Library.
- Select Content Lifecycle Policy.
- Enable the workflow to allow the execution of content lifecycle policies on your Portal.
Create a Content Lifecycle Policy
- Select Add Policy to create a new policy.
- Enter a unique and descriptive name for your policy.
- Include a policy description with relevant details.
- Select the kind of policy from the Type dropdown.
- In the Apply To dropdown, select which Portal content will be affected by your content policy.
- Use the toggle button to decide on the Execution Type:
- Toggle on for automatic execution
- Toggle off for manual execution only
- Select Create to finalize the policy.
- Select the Preview tab to see the Portal content affected by the policy.
- Select the History tab to see the policy logs (unavailable for new policies).
Create a Soft Delete Policy
When a Soft Delete Policy is executed, the Portal content complying with this policy goes to your Portal's Recycle Bin.
- Select Add Policy and set Type to Soft Delete.
- Configure the Apply To criteria.
- Select Create.
Create a Purge Policy
When a Purge Policy is executed, the content in the Recycle Bin complying with this policy is permanently deleted or purged from your Portal.
- Select Add Policy and set Type to Purge Policy.
- Specify the number of days content must be in the Recycle Bin before purging. The policy acts on content that has been deleted for more than the specified days.
- Select the Preview tab to view content that will be purged.
- Select Create.
NOTE: VIDIZMO creates a default Purge Policy when a Portal is created. You can edit it like any other content policy.
Create a Change Tier Policy
Change tier policies are available when using Azure storage on your Portal. When executed, the Portal content moves to the access tier specified in the Policy Action.
- Select Add Policy and set Type to Change Tier.
- Select a Policy Action to determine what the change tier policy will do.
- If the policy action is Move To Hot or Move to Cold, use the Select Priority option to choose the rehydration priority for content being unarchived.
- Select Create.

Content Selection Criteria
From the Apply To dropdown, determine how to select or target Portal content for policy execution:
- All Content - The policy applies to all content in your Portal. For Purge Policy, this means everything inside the Recycle Bin.
- Limited Content - Define criteria using clauses for more specified content selection. Each clause comprises a Field, Operator, and Value.
NOTE: Some clauses are mandatory for content selection and cannot be removed. Their Fields cannot be modified, but you can change their Operators and Values.
Clause Components
- Field - Defines a scope for your Portal content (location, status, attributes)
- Operator - Determines the relation between the Field and Value columns
- Value - Information that identifies what will be selected for policy execution (depends on selected Field and Operator)
Select Add New Clause to create additional clauses to refine content selection. Select the x button next to a clause to remove it.
Preview Tab
The Preview screen displays content that meets the Apply To criteria. When the policy is executed, the Policy Action applies to all content shown here.
- Titles - Shows affected content. Select titles to open content in a new browser tab.
- Actions - Lock or unlock content to prevent them from being affected by the policy action. The Locked column icon indicates lock status. See Use Lock in VIDIZMO to Restrict Content Archiving.
- Selective Apply - Select content via checkboxes and select Apply to apply the policy action selectively.
- Edit Column - Customize columns displayed on the Preview screen.
- Analytics Chart - Available only for Change Tier policies. View storage consumption information for each Azure access tier.
Column Options
Customize columns in the Preview screen to display more information about affected files:
- Select Add New Column to add a column
- Drag the icon next to column names to reorder
- Select the x icon to remove columns
- Select Apply to save adjustments
Analytics Chart
The Analytics pane displays two charts showing your current Azure Storage status and the projected storage status after policy execution.
History Tab
The History tab displays a log documenting changes to a policy and all execution instances since creation. The log shows execution method, executor, and number of affected files.
- Filter Icon - Create a specified query for certain logs
- View Toggle - Switch between Compact and Detailed View
- Download - Download logs in CSV or PDF format
- Refresh - View updated logs
Manage Content Lifecycle Policies
Perform the following actions on the Content Lifecycle Policy page:
- Run Policy - Manually execute a policy, even if set to automatic
- Edit - Modify an existing policy's settings
- Delete - Remove the content lifecycle policy
- Reorder - Drag and arrange policies to change their Order ID and prioritize them for automatic execution. The policy at the top has the highest priority.
- Loading Icon - Indicates policies currently running
- Settings - Set the time interval for automatic policy execution
Configure Policy Workflow
- Select Settings.
- In the Policy Workflow Config window, provide the time interval in hours.
- Select Confirm to save changes.
